Privacy Policy

This notice describes the public website and its general contact features. It is not a replacement for patient privacy information, a Notice of Privacy Practices or privacy terms for a separate patient portal or booking provider.

Copy updated October 8, 2026.

Current website and form status

General contact forms are currently disabled while privacy arrangements and email delivery are reviewed. The preview does not accept general form submissions. Clinical referral and medical intake forms have not been enabled.

Publishing this draft notice does not approve or activate forms, analytics, marketing messages or a new use of patient information.

Information you choose to provide

If general inquiry forms are approved and enabled, they request a first name, last name and email address, and allow an optional phone number and message. They also include a preferred office, reason for contacting us and confirmation that the inquiry contains no health or treatment details.

The notification includes the selected office, submission time and the page from which the inquiry originated. These details help the practice respond and identify which office or website feature the question concerns.

Please do not include sensitive medical, dental, or personal health information in this form. For clinical questions, please contact your Maine Dentistry office directly.

Ordinary website inquiries and email are not a secure clinical messaging channel. Do not submit medical records, diagnoses, treatment histories, Social Security numbers, payment-card information or similar sensitive details.

How general inquiries are handled

When approved and enabled, inquiries are sent through the configured transactional email provider to info@mainedentistry.com for the practice team to review. Your email address is used as Reply-To so the team can respond to your request.

The prepared provider is Resend. Sender verification, valid secure credentials, privacy approval and coordinated delivery checks are required before sending is enabled. Submission information would be processed by the hosting service, email delivery service and practice email systems as needed to deliver and respond to the inquiry.

A general inquiry is not a marketing subscription, SMS opt-in, treatment consent or an appointment confirmation.

Technical information and security controls

Hosting and security services may process standard request information, such as an IP address, browser information, requested page and time of access, to operate the website, troubleshoot problems and prevent abuse.

The inquiry implementation uses validation, signed short-lived challenges, a spam trap, request limits and duplicate-send protection. It does not create a public submission directory or a website database of inquiry responses. Application logging is designed not to include names, email addresses, phone numbers or message contents.

Short-lived application state used for request limits and delivery retries contains keyed digests, status and timing metadata rather than saved form responses. These controls do not make ordinary email a secure medical-record system or guarantee that a visitor cannot accidentally disclose sensitive information.

Cookies, analytics and embedded content

The current preview does not activate a practice-owned GA4 or Google Tag Manager measurement setup. Contact-form analytics are prepared but remain off unless approved configuration and visitor analytics consent are present.

If approved, contact-form events identify only the interaction, selected office and an allowlisted website page. They must not include a visitor’s name, email address, phone number, message, security token or submission identifier.

External booking services, map links, video, reviews and social-media destinations may process information or use cookies under their own policies when you use them. Your browser settings can help you control cookies, but restrictions may affect features provided by those services.

Use, disclosure and retention

General inquiry information is intended to help the practice answer questions, provide administrative assistance, route requests and maintain the security and reliability of the contact service. It is not intended for advertising profiles or unrelated marketing use.

Service providers may process information needed for hosting, email delivery and practice communications. Applicable law may also require preservation or disclosure of certain information. This notice does not promise immediate deletion of records the practice must retain.

Before forms are enabled, the practice must approve who can access inquiry emails, the provider arrangements, retention and deletion procedures, and handling of any sensitive information received by mistake. A specific approved inquiry-retention period has not yet been established for this preview.

Your choices and privacy questions

You can choose to call an office rather than use a website form. Once forms are available, phone and message fields are optional. Contact the practice to ask about information you provided or request an applicable correction or deletion; the response will depend on record type, identity verification and legal requirements.

For questions about patient health records, contact an office and request the applicable patient privacy information. Do not include clinical details or identity documents in an ordinary website inquiry or privacy-feedback email.

SMS/MMS communications and updates

SMS/MMS communications are addressed in the separate messaging privacy and terms page. A website inquiry does not enroll you in those services. Refer to that page for messaging consent, opt-out instructions and applicable messaging terms.

This notice should be reviewed whenever forms, providers, analytics, retention procedures or other relevant website practices change. The date shown here records this draft’s update, not a claim that all processing arrangements have been approved.
